PROCESS AUTOMATION

Internal processes that work alone and measure themselves

Automated approvals, onboarding, compliance, document management and internal operations with traceability, SLAs and visibility for management.

What is Automation of internal processes?

A company's internal processes (expense approvals, employee onboarding, document management, compliance, IT requests, work reports, vacations, purchases) are usually supported by emails, shared spreadsheets and manual coordination work. The result is slowness, lack of traceability, errors, and team frustration. At Q2BSTUDIO we automate internal processes so that they work with clear rules, defined deadlines, full traceability and visibility for management.

Our approach starts by selecting processes with high impact and low automation complexity (quick wins): multi-level approvals with clear rules, requests with structured forms, onboarding with checklist of interdepartmental steps, compliance with reminders and escalations, and document management with review and publication workflows.

Each automated process includes: input form (web, Teams, email), routing and approval rules, notifications to participants with context and required action, reminders in the event of inaction, escalated by SLA, registration of each step with timestamps and managers, and status dashboard for managers and management. The process no longer depends on someone remembering to send an email or consult a spreadsheet.

The most common scenarios are: expenditure/purchase approvals (with amount, cost center and hierarchy rules), employee onboarding/offboarding (with tasks for IT, HR, facilities and manager), access requests or permissions, vacation and absence management, work reports and clocking in, document control (versioning, review, approval, publication), internal audits and compliance (periodic checklists with evidence).

Automation doesn't mean rigidity: processes support documented exceptions, alternate paths, and temporary delegation. The important thing is that the exception is registered and visible, not that it disappears in an email without trace. Flexibility is designed into the flow, not out of it.

We implement with the appropriate tools for the environment: Power Automate in Microsoft ecosystems, n8n or Make for heterogeneous environments, or custom development when logic or volume requires it. We deliver documented, tested, monitored processes with a maintenance plan so that the internal team can manage them autonomously.
