What is RPA: robotization of repetitive tasks?

RPA (Robotic Process Automation) allows you to automate repetitive tasks that an employee performs on graphical application interfaces: copying data between screens, filling out forms, extracting information from portals, generating reports from legacy systems or processing batches of documents. At Q2BSTUDIO we implement software robots for companies that have high-volume manual processes on systems that do not offer APIs or whose modernization is not viable in the short term.

The value of RPA is immediate in specific scenarios: when a process is stable, repetitive, based on clear rules and runs on applications that do not allow native integration. The robot replicates exactly what the person would do, but without attention errors, without fatigue, without variability and with records of each execution. It's the fastest solution when modernizing the underlying system isn't an option.

Our methodology includes analysis of the candidate process (volume, stability, rules, exceptions), robot design with explicit error and exception management, development with tools appropriate to the environment (Power Automate Desktop, UiPath, Automation Anywhere or lightweight solutions with Playwright/Puppeteer), exhaustive tests with real data and deployment with monitoring.

Each robot includes exception management: when it encounters an unforeseen case, it does not try to improvise. It stops, notifies the person responsible with context of the error and records the exact point of failure. Retries are configured with specific logic (do not retry if the data is invalid; retry if it was network timeout). The monitoring shows executions, successes, failures, times and alerts.

It's important to highlight when RPA is NOT the right solution: if the system has API available, a native integration is more robust and maintainable. If the process changes frequently (screens, fields, flows), the robot breaks with each changeover and the maintenance cost outweighs the profit. If the volume is very low, the ROI does not justify the development. RPA is an excellent tactical tool, but it is not a substitute for strategic systems modernization.
